Account & Data Deletion

You can request the deletion of your Vault account and associated personal data at any time. This page explains what will be deleted, what we may need to retain for legal reasons, and how you can request deletion.
What Will Be Deleted
When your deletion request is completed, we will permanently delete or anonymise, where appropriate:
Your Account
- Name
- Email address
- Telephone number
- Profile photo
- Password (stored securely as an encrypted hash)
- Login history
- Active sessions
- Saved devices
Company Workspace (Company Owners Only)
If you are the Company Owner and request deletion of your company, we will delete:
- Company profile
- Projects
- Tasks
- Project photos
- Project documents
- Messages
- Notes
- Customer records
- Labour requests
- Fast Fill requests
- Quotes
- Invoices stored within Vault
- Uploaded qualifications
- Reviews created within your workspace
- Company settings
Integrations
Any connected integrations will be disconnected, including:
- QuickBooks
- Xero
- Microsoft 365
- Google (where connected)
Encrypted authentication tokens will be permanently removed.
What We May Need To Keep
Some information must be retained to comply with UK legal obligations. This may include:
- Billing records
- Subscription history
- Payment references
- Tax records
- Security logs
- Fraud prevention records
These records may be retained for up to 7 years, where required by law. Where possible, retained records will be anonymised. We never use retained information for advertising or marketing after your account has been deleted.
Before Requesting Deletion
Before deleting your account, we recommend you:
- Cancel any active subscription.
- Download any documents you wish to keep.
- Export any project information you require.
- Inform other members of your company if you are the Company Owner.
Once your account has been permanently deleted, it cannot be restored.
If You Are Not The Company Owner
If you were invited into a company workspace as:
- Worker
- Project Manager
- Administrator
You may delete your own Vault account at any time. Deleting your personal account does not automatically delete the company workspace. Only the Company Owner may request deletion of the entire company.
Requesting Deletion
Option 1 – Within Vault
Go to: Settings → Account → Delete Account. Follow the confirmation steps.
Option 2 – By Email
Email: privacy@vault-app.co.uk
Subject: Account Deletion Request. Please include:
- Your full name
- Your registered email address
- Company name (if applicable)
- Whether you wish to delete:
- Your personal account only; or
- The entire company workspace (Company Owners only)
- Confirmation that you understand deleted information cannot be recovered.
What Happens Next
We will:
- Acknowledge your request within 2 working days.
- Verify your identity where necessary.
- Process your request within 30 days, or sooner where reasonably possible.
- Confirm by email once deletion has been completed.
Some encrypted backup copies may remain for a limited period before being automatically overwritten as part of our normal backup cycle.
